Location: Springfield, MO (On-Site) 

Pay: $20-$25 per hour (USD), based on experience

Employment Type: Part-time to Full-time

As we continue to grow, we are seeking a reliable, detail-oriented Executive Assistant / Office Manager to support ownership and senior leadership while helping keep day-to-day operations organized and moving forward. This is a Local role that combines executive support with office management responsibilities. It is critical to keep our leadership team focused, responsive, and on track.


Role Overview

This position provides administrative, organizational, and communication support to leadership, while also owning key office management functions such as document control, internal coordination, and basic financial and workflow support. You will help manage schedules, inboxes, systems, and follow-ups across projects and departments so nothing falls through the cracks.


Key Responsibilities

Executive Assistant Support

  • Manage calendars, schedule meetings, and coordinate appointments across time zones
  • Monitor and organize executive email inboxes; draft and respond to routine correspondence
  • Track follow-ups, action items, and deadlines to ensure clear execution
  • Prepare documents, reports, spreadsheets, and presentations as needed
  • Maintain discretion and confidentiality with sensitive company information


Office Manager Responsibilities

  • Maintain organized digital filing systems for contracts, proposals, invoices, and company records
  • Coordinate internal communication between leadership, project managers, and vendors
  • Support data entry, expense tracking, and basic bookkeeping coordination
  • Help keep operational workflows organized (requests, approvals, document routing, status updates)
  • Support hiring, onboarding, and HR-related administrative tasks as needed
  • Assist with research, vendor coordination, and special projects
  • Identify gaps, improve organization, and help implement simple systems that keep the team aligned


Qualifications

  • Previous experience as an Executive Assistant, Administrative Assistant or Office Manager preferred
  • Strong organizational and time-management skills
  • Excellent written and verbal English communication skills
  • Proficiency with Google Workspace (Gmail, Docs, Sheets, Calendar) and/or Microsoft Office
  • Comfortable learning and using tools such as QuickBooks, Buildertrend, or other project management platforms (training provided)
  • High attention to detail, professionalism, and accountability


Compensation & Benefits

  • Pay: $20-$25 per hour, depending on experience and performance
